When your mailbox is full and it is time to archive your important mail, you can simply put the messages in the archive. Disadvantage: The mails can only be read with Outlook and can therefore not be conveniently opened from anywhere. Saving emails as PDF files, on the other hand, has many advantages: You can store your emails anywhere and open them on any device. This article explains how to save your emails as a PDF file.

How to save your mails as PDF files in Outlook

Note: In order to be able to save your e-mails as a PDF file, a virtual printer must be activated, which can be selected in the device list for printers. By default, this service is also activated in Windows 10, so you don't have to do anything here. However, if the service is not active or "Microsoft print to PDF" is not available, you have to activate it. To do this, you have to add the service under "Settings"> "Devices"> "Printers and scanners".

Please also note that only the text of the e-mail is saved during a PDF export. Attachments such as pictures or documents are not saved. You should also save these as files.

Follow our step-by-step instructions or have a look at the Quick start guide .

1st step:

quick start Guide

  1. Open Outlook and select the email you want to save as a PDF.
  2. Click on " File ", then on " Print " and select " Microsoft print to PDF ".
  3. Now go to " Print " and select the storage location or folder for your PDF. Your email will now be converted to PDF format and saved.
