It can be quite annoying when you have to keep repeating the same content in new emails. Outlook has a very simple solution for this: text modules! This means that you only have to write a text once and can then save it as a module. You can then insert this module into new e-mails with just a few clicks.

Create quick parts in Outlook

Follow our step-by-step instructions or take a look at the brief instructions .

1st step:

To create a Quick Part in Outlook, you must first open a new email. Enter a text that you want to define as a text module and mark it. Then click on the " Insert " tab above and select " Quick Parts ". If this point is not displayed, you must use the three points at the top right to display further options. Now click on " Save selection in quick parts catalog ... ".

2nd step:

A small window now opens in which you can still adapt the new module. Above all, you should give it a meaningful name so that you can find it again later. Click on " OK " to save your settings.

3rd step:

To add a phrase to your mail, you must return to " Insert " and then " Quick Parts to call." The saved block is now displayed here. Click on it to automatically add it to your email.

  1. Open a new email in Outlook. Enter the text that you want to define as a quick part and select it.
  2. Click above on the " Insert " and select from the strip " Quick Parts from". You may have to click the three dots on the far right of the Insert bar to see a larger selection.
  3. You can save the selected text via " Save selection in quick parts catalog ". In a new window you can make a few settings for the content of your new module and give it a suitable title .
  4. If you now want to insert this or another saved module, you have to go back to " Insert " and " Quick Parts ". All stored quick parts are displayed in this memory. So you can create your own quick component catalog in order to write your e-mails as quickly as possible.
