An e-mail signature is a section at the end of an e-mail that contains further information about the sender. E-mail signatures are mandatory, especially in a business environment. They facilitate contact via other communication channels and enable the legal status of the sender to be checked. Outlook allows you to create one or more personal signatures that you can add to your e-mails as needed. The Outlook signature can only consist of text or contain a logo. We'll show you how to create or change a signature in Outlook and how to add images and logos to your signature.

1st step:

First open a new e-mail with the " New E-Mail " button .

Select " Signatures " in the top menu bar . Then click on " Signatures ... ".

A new window is opening up. Click on " New " under the " Select signature for editing " field to create a new signature. You can also change an existing signature in this way.

Now you can enter a name for your signature. This allows you to distinguish between different signatures that you may be using. Confirm your entry with " OK ".

After you have named your new signature, you can now write the actual signature in the " Edit signature " field . In this field it is also possible to change an existing signature afterwards. You can also adjust the font, font color, size and alignment. Repeat steps three through five to create additional signatures.

In the area " Select standard signatures" you can define several functions for your Outlook signature. On the one hand, in the " E-mail account " field, you can set the e-mail address to which the signature should be assigned by default. On the other hand, you can use the " New Messages " field to determine which of your signatures will be automatically added to a new e-mail. In addition, under " Reply / Forward " you can specify whether messages that you reply to or forward to a third person should automatically receive a signature. Finally save your selection with " OK ".

If you did not choose to automatically add your signature to a new email in the previous step, you will need to insert the signature manually. To do this, open a new email as described in the first step . Then click on " Signatures " in the top menu and select the name of your signature . The Outlook signature will then be automatically added to your email.

Insert a logo or image in the signature

In a new window you can change the size of the logo under " Scale ". Check the " Lock aspect ratio " check box so that the proportions of the logo are retained. When you are finished, confirm your settings with " OK ".
